Tips to protect your business information
The information your business has collected over the years is one of your most valuable assets.
Equipment is relatively easy to replace, it just takes enough money in most cases, but all those customer and product details you have built up over the years may be impossible to find again if you lose them. Loss of data is a significant factor in business failing after an event such as a fire.
How to protect your business imformation without it costing a fortune.
- It should be easy and quick to take a copy of your data (known as a backup) because if it’s difficult or time consuming it just doesn’t get done.
- Make sure you copy all the files you need. These will include at least some of the following:
- Your documents, (usually stored in your "my documents" folder)
- Emails, unless you are using an internet email account such as hotmail or gmail. These files will be stored in different places depending on which email program you use.
- Files stored on your desktop
- Contacts
- Internet favourites
- Photographs
- Music
- Downloaded programs (especially if you have paid for a download)
- Files created by your accounts package
- Photoshop files
- Cad files
- Or files created a by any specialist piece of software you may use, that doesn’t automatically store it’s files in your "my documents" folder
- At least 2 copies of your data should always exist.
- Copies of your data should exist on different pieces of equipment, eg data on a computer should not just be copied to another place on that computer, but onto somewhere else like an external hard drive or even another computer.
- The copies of your data should be kept in different physical places to guard against problems like fire and theft.
- Periodically look at your backups to check they are still working. Pick a file you have worked on recently and see if it is in the backup.
